Our organization primarily uses Deputy for check-in/check-out functionality as well as absence management. Both functions are in the software are well designed and perfect for our requirements.
  • User friendly interface.
  • Easy timesheet approvals.
  • Easy timesheet exports.
  • Absence and leave management could be improved a little bit.
  • Integration with payroll systems -- there is some integration with some providers, but not ours specifically
  • Better exception management -- for example if a user forgets to check out and remembers to do so on their drive home, they should be asked to justify their check out away from company premises and enter their actual check out time.
Primarily suited for offices where remote work is not done heavily.

I use Deputy to manage schedules, leave requests, and sick time for a team of 6. There is only 1 location and no departments. This scheduler allowed me to automate the scheduling process for staffing a public library. Previously I used an excel file and printed sheets to share the schedule, I wanted an app-based solution that would sync with a calendar.

  • Copy and paste scheduling is amazing.
  • The manager side UI needs improvement to be more intuitive.
  • I have difficulty syncing it to my outlook calendar.
  • The app and desktop environment don't sync perfectly and sometimes I need to push updates from the app when I've already done them via a workstation.
  • The billing process is annoying, I'd rather just pay once a year.
This app saves me at least a few hours each month of monotony. It always provides an attractive UI for my staff to submit vacation and leave requests. This app is not very well suited to those who want more fuller automation that requires pattern building to make their schedules. those who like to print out a paper copy of the schedule might not like the output options that Deputy provides.

We use Deputy for all staff scheduling, leave management, and company-wide communication. Deputy makes it simple to make changes or updates to the schedule and make sure the affected employees receive a push notification right on their phones. I can also easily send messages to individuals or groups within our organization.

Deputy is great for pulling out specific information whenever you need it. The software allows me to create custom reports to suit exactly what I need. I can also save and adjust the reports as time goes on and my needs change. Reports are easily exported into Excel so that I can filter and sort the data.

We currently use Deputy to manage our staff rostering and timesheets and integrate with MYOB for payroll. The added functionality of being able to assign tasks to not only individual employees but also areas is handy, along with the Newsfeed being able to keep all staff members updated easily.

  • Tasks: Being able to assign a task list to multiple areas instead of just being limited to one.
  • Leave Requests: the ability to have customizable cut-off times for submitting leave (e.g. Leave requests for the next week can only be submitted up to 5 pm on Thursday the week prior).
  • Tasks: Being able to assign tasks to individual employees and schedule when they receive the notification (i.e. if I am setting tasks at 11 pm at night for staff commencing work at 5 am).
  • The ability to have a designated (management) employee included on ALL Newsfeed messages regardless of if they have been included. This would ensure proper moderation of the platform.
Deputy is a great all-around program for managing not just rosters and timesheets but also being a communications platform for staff and management alike.

I am working in an accounting firm and Palisade is one of our clients. Deputy is not directly used by our firm but by Palisade Hotel. I introduced and implemented Deputy to Palisade Hotel 4-5 years ago and since then Hotel start managing their staff very effectively and managers are top of the employees' timesheet and rostered hours. We can now, track their time very easy, estimate future weeks salary cost and prepare very accurate payroll reports.

It is well suited for Hospitality with high number of casuals, part timers, and employees. Deputy kiosk makes it very easy for employees to clock in and out and prevents buddy punching. They can straight see their rostered hours and it makes it very easy for managers to review and approve timesheet at the end of the day. It is all on the cloud, fast and easy. When you are dealing with high number of employees and mostly on hourly base, things can get out of hand and Deputy makes it very easy to keep track of everyone's status. I think Deputy would not suit well for the businesses where most employees are full timers and tracking hours of each employee are not very critical.

We schedule our entire staff through Deputy and use the journals as a method for recording disciplinary actions and the news feed for company communication. We have different positions, responsibilities, and skills tagged by employees. Staff can request time off for approval by management, and their annual PTO balances are tracked.

Deputy is perfect for a part-time workforce when managing younger employees. The mobile app is extremely user-friendly and allows for staff to communicate with each other and develop a sense of community without being bombarded with messages that may not be relevant to them. Scheduling is very easy with templates and auto-fill as long as you have your employee training and availability up to date.

Myself and other hourly employees at our firm use Deputy to clock in and out. It also houses some basic personal information such as email, phone number, address, emergency contact person, etc. Deputy has an app for iPhone and Android users, which is convenient for those of us who like to clock in on our phones, rather than wait for our computers to turn on in the morning and navigate to the website. Deputy also has a handy little map of the office and shows you how far away you are, and how accurate the location details are. we are not currently using this feature, but I did notice that Deputy also gives you the option to request time off within their system, which is very convenient.

  • Allows you to clock out for lunch breaks and request PTO within the system if your office elects to use those features.
  • Not many bad things to say, maybe add some more color to the page. There is a lot of empty, white space.
  • I get a notification every day reminding me to clock out about 10 minutes after I've clocked in. I'm not sure if this is necessary. It's nice, but maybe the reminders should come later in the day.
I love that I can use an app rather than a website to clock in. I used to work at a firm where my computer would take FOREVER to turn on in the morning, and then by the time I navigated to the website to clock in I had lost 5-10 minutes of my day. This never happens with Deputy and I don't think I can say that I've ever had an issue with the app crashing or not working. It is also very easy for my boss to go in and correct my time if I ever forget to clock in. I think Deputy has more features than our firm needs it for, but I have noticed that Deputy would be well suited for keeping track of PTO and requesting days off. I don't think we would use Deputy for anything else other than clocking in and out and maybe using it for tracking PTO in the future.

My business uses Deputy on a daily basis. It helps my employees to clock in, request time off, and keep track of their hours. I also write the weekly schedules on it and can check staffing expenses as I do it. I like that it allows me to input information on my staff such as contact information, pay, and job qualifications.

We use Deputy to roster for a multi-site company. Within each site, we have multiple areas. Staff use the kiosk to clock in - a photo is taken at clock-in, this helps us know staff aren't clocking in each other. Staff are required to report any Covid-19 symptoms at clock-in and notify managers if reported, this creates responsibility for the Staff members. Integrates with Xero and makes payroll easy. Integrates with our POS so we can see wage cost vs sales to ensure we always have the right amount of staff on any day of the week. We also use the News Feed to provide company updates - staff can see this on their app and also when they clock in on the kiosk, staff can confirm they have seen the posts so we know who has received the updates and who hasn't. The programme is not perfect, it's not 100% designed for hospitality that trades nearly 24hrs a day but it is a powerful tool that we can manipulate to work for us.

  • Customer support is very basic. Always requires further clarification from more senior support agents for complex questions which takes time to achieve after long discussions with someone who can't comprehend what you are asking.
Would be great to see better support for companies that work past midnight. Being able to define what a companies day is based on times rather than purely dates. POS integration - allow one register to relate to multiple areas within a location.

I use Deputy for weekly rosters and the use of daily timesheets, also have log-out questions to find out if there are any incidents that need to be reported. Timesheets are then [exported] to our payroll. I also use the reports to work out my HR cost to stick with my budget. I use the message board to communicate important documents and it allows me to confirm my staff [has] read them. I can also update rosters and approve timesheets from the app on my phone.

  • And you can’t approve holiday pay in advance this would be helpful.
Deputy is a very simple rostering system that is easy to use for employees and employers. handy that it’s app-based for staff to use to log in and out of with the iPad kiosk app. also for the admin laptops. Your team can have [their] rosters on their phones and you can notify them via message for changes. We use this for important information also. And Can also do pretty much everything from the ph app if you are out and about.

It makes the process of rostering/scheduling staff very efficient and keeps a record of each event that happened in relation to the labor hours. I think it is a good trade-off of paying the deputy fee if I am saving significant hours of labor by managing labor hours efficiently. I think deputy is worth considering if the staff volume is more than 10 employees

We use Deputy primarily for scheduling staff and time keeping. I really like the ease of use for scheduling, I often just use the copy and paste feature to get the schedule for the coming week made! It never takes me more than 10 minutes to make the schedule with Deputy. We also use the Deputy app to clock in and out, audit timesheets, and report time for payroll. It [is] super straightforward to use and easy to navigate. If someone forgets to clock in or clock in late it's very easy to edit their timesheet. Another feature that is SUPER handy is the Newsfeed. I use this for all company updates with our employees. It's so handy and effective. Before I was sending out mass text messages, which was such a pain! The phone app pushes notifications when I send out an update or publish the schedule, as well as sends an email to all users. It has really helped with our overall communication within the company. From time to time we use the tasks feature as well. It's great for assigning tasks to a specific work area, shift, or employee.
  • Employee Scheduling - So straightforward and easy to use! Love the copy & past feature!
  • Timekeeping - the App & Kiosk are perfect for employees to clock in and out in a matter of seconds
  • Company Communication - the Newsfeed feature makes it easy to keep everyone up to date on company announcements

  • Direct Messages - I'd love to just direct message employees.
  • Training - Perhaps some onboarding documentation or a create your own training program. I feel like that is the next step in the evolution for Deputy. I would like the option to upload documentation and videos and then create a small quiz per "section" I'm currently using Google for Quizzes, I think Deputy can add this and charge more for it!
I've used other platforms in the past like Plan Day and Hubstaff - but Deputy works best for retail, food service, and other shift work professions. I own a retail store, so the scheduling system and its ability to assign tasks really work for what I need. I don't know how well Deputy would suit an agency with freelancers - as Hubstaff does that very well, but I do see the potential to offer a version of Deputy that targets that audience.

Scheduling and payroll for the whole organization - allows for easy access to the daily schedule from any location and a quick review of hours worked/overtime/days off.
  • Easy-to-read schedule.
  • ability to see if someone is available when making the schedule.

  • Ability to see how much someone has worked in a given period of time.
  • Ability to see overtime and overall payroll costs.
  • Integration with ADP changed, causing a lot of payroll headaches.
  • Qualifications do not automatically update on prebuilt schedules, so it looks like someone is unable to work a shift when actually they can.
  • Not enough flexibility with access levels for different types of employees.
  • With a weaker internet connection, lag times and refreshes can make working in the system extremely difficult.
  • There needs to be a "restore" function in the event someone inadvertently deletes a 100+ employee schedule.
Great for a large, spread-out workforce that needs to be able to access their schedule digitally and clock in from various locations especially great for organizations where managers may be at a different location but still need to hold onsite managers and staff accountable, not great for organizations with weak or no internet or phone signal not great at integrating with other payroll processing systems.

To keep day to records of time spent on various jobs. Helps keep accurate records, particularly when undertaking time and materials work for clients. Doing a lot of Project Management work, Deputy allows the freedom to switch in and out of any given job. The flexibility to not have to necessarily assign specific jobs and be able to go between various jobs is crucial.
  • Keeping track of hours.
  • Reporting is very helpful when supplying supporting documents to clients.
  • Interacts with Xero for employees' or contractors' time, allowing very quick admin turnaround for these types of payments.
  • Longer descriptions when choosing jobs to click into. Currently, only 3 characters long. Can sometimes make it difficult to distinguish between jobs.
  • If Deputy ran in the background ( unsure of efficiency for battery life) and popped up with a notification, once arriving at the site, asking users if they are working in the area they've been assigned, this would help with missed start times. Deputy uses GPS when inputting locations in setup, so would be a handy addition.
Personally haven't found a scenario where Deputy doesn't work well. It's very versatile.

We use Deputy as our time clock system for hourly employees; to share organization-wide messages and to communicate with employees directly, and assist employees and managers in ensuring all shifts are covered. We also export timesheets from Deputy directly to our payroll processing provider.
  • Easy to see schedule at a glance.
  • Easy to offer up shifts.
  • Tech support responds quickly.
  • Notifications in the app aren't reliable - sometimes our employees don't get them.
  • Deputy doesn't have labor law data for our jurisdiction.
  • Wish the support documents were more clearly written.
It feels like Deputy isn't quite as polished in the details as we'd like it to be. The unreliability of notifications, the missing features, etc just gives it more of a beta feel. Even management doesn't always seem to get notifications on our phones! And the lack of a Spanish-language version makes it hard for some of our employees to navigate.

I use Deputy for time and attendance tracking with several of my clients. We needed an easy time tracking app with no learning curve. We also needed one that exported hours to QuickBooks Online. Deputy is super-easy to onboard with new employees and managers love the oversight it gives them as to where and when the team is clocked in.
  • Time tracking for payroll.
  • Location tracking of clock-ins.
  • QuickBooks Payroll integration.
  • Leave tracking - it is available, but would be nice to have a more simple report or sheet view of this.
I have been able to scale Deputy with 1 employee all the way to 250 employees in a single organization. It is easy for the single user but has scaled well in the larger organization. Deputy is priced in a way that it's affordable for the smaller entities as well. It's rare to find a solution that can be deployed to any size like this.

Schedule Consultant Anaesthetists for a busy private practice in a digestive health centre in London. Works brilliantly as they mostly self-manage themselves with the ability to drop and swop and offer out shifts. Can be synced with their usual diaries as well which helps plan their lives. The customer service team are incredibly responsive in terms of any queries or issues. Really highly recommend Deputy!

We are a small not-for-profit charitable organization that runs our own events monthly and also rents our facility out to the community. Because we essentially have a lot of casual staff and one-off events, trying to schedule people and find out their availability would be a full-time job in itself. With Deputy, I can post an open shift and our casual staff can look to see what kind of position it is, what type of event it is, and choose whether it works with their schedule. It alleviates a lot of time trying to contact employees for every single shift we have open.
  • Easy to set shift times and send out notification about available shifts
  • I like that you can archive and unarchive employees as some of our employees leave for long periods of time then come back for the summer
  • I like that employees can transfer their own shifts to each other to work out their own scheduling
  • If I receive a shift notification it would be good to be able to see who is working the shifts when I click on it
Basically pretty good for shifts that aren't always going to be at the same time - like for rentals.

We have a handful of employees that are hourly so I use it for timekeeping and for scheduling. We only use it for about 5 of our staff so it's manageable and integrates with our payroll software. We have an iPad set up in the break room to use as a time clock and it works well.

  • Mobile app for clocking in/out with GPS stamp.
  • Schedule function tedious and time-consuming.
  • They charge monthly for the administrator even if they don't use any of the functions.
  • They also include administrators on the list of employees even if they don't use the functions.
Overall I like Deputy. It works directly with my payroll company so that makes it easier. I just started using the scheduling function recently and I find it a bit tedious and tiresome. Set schedules are kind of a pain to manage. I'm sure there is a better way, but I don't have a huge amount of employees in the system so it's manageable. I would say if you are using this because it integrates, then it works like you would want it to. If you are buying it stand-alone, it might be worth weighing out the competition.

We employ around 100 casual employees at 4 geographical locations each year with various shifts of differing lengths and times of the day. As each shift is different, we need to send notifications to employees at specific locations so they can opt [into work] or not. Employees have different qualifications, so they need to know which shifts they can apply to work as well.

  • Having to add multiple shifts when more than one employee is needed for a shift
  • Not having sub-categories to apply to a specific shift when a specific qualification is needed
The diversity of shift times, needs, and types are easy to schedule when our staff can look at times they are available, and then look further into the details of the shift to see if it suits them. It would be better for some types of the shift to have images or more details, or a link to a separate page, or attach a document.

We were looking for a scheduling solution that was both easy to implement and powerful. Deputy strikes a very nice balance between features/capabilities, cost, and ease of use. With everyone having a smartphone now, it is super simple for me to make changes and adjustments to the schedule, get them published and have the changes pushed out to our team with no action required on the employee side. Writing schedules is a breeze - if one week is the same as the previous week, you can copy the schedule over - and the system has built-in conflict detection, so if you try to schedule an employee to work on a day that they have requested off, Deputy lets you know what the conflict is and how the system handled it. Employees are able to submit time-off requests and availability changes via the app and users with the appropriate access level can approve or decline them directly from the app on their smart device or via the web interface. Deputy has been an asset to our team and it is one of the most feature-rich offerings at this price point available. I definitely would recommend Deputy for scheduling!
